Display Case Policy

Mission

To broaden the understanding of public health at the University of Michigan through the presentation of exhibits on public health themes, program initiatives, and special events.

Location

The display cases are located on the first floor of the School of Public Health Crossroads.

About the Display Cases

Display cases (5) are glass enclosed and designed primarily for displaying objects or photography on glass shelves. They are not designed for hanging works of art. The display cases are locked, and are located in a public area of the School of Public Health building.

Eligibility

Faculty, students, staff, and official visitors associated with the School of Public Health are eligible to apply to use the display cases. All exhibits must be approved by the SPH Building Exhibit Committee.

It is the responsibility of the exhibit sponsor to turn exhibition lights on and off each day in the display cases.

Application Process

Applicants are encouraged to view the space and determine that it is appropriate for the planned display. Applications should be submitted to the SPH Building Exhibit Committee and will be handled on a first-come, first-served basis.

Applicants should provide the following:
A completed application form (PDF)
• A written statement of no more than one page describing the proposed exhibit
• Slides, photographs, or color copies of the actual pieces to be exhibited.

The School of Public Health reserves the right to reject any exhibit item not originally presented to and approved by the SPH Building Exhibit Committee.

All exhibited materials must be duplicable such as photographs and/or non-valuable art.

Applicants will be notified in writing by email or letter within four to six weeks of application receipt regarding acceptance or denial of their application.

Confirmations

The exhibitor will review the display exhibit terms and conditions and sign the agreement. Exhibits may not be placed until the exhibitor has met with a member of the SPH Exhibit Committee. To coordinate this meeting, please contact the SPH Exhibit Committee at 734.615.5630.

Terms & Conditions

• All pieces in the exhibition must abide by the mission statement.
• The order in which applications are received does not determine the order in which the exhibitions will be displayed.
• Exhibitor is responsible for keeping a detailed inventory of items on display.
• No price tags may be displayed in the display cases or on exhibit materials.
• Exhibitor will be solely responsible for all costs associated with the exhibit.
• Exhibits will be displayed for a minimum of one week or not longer than eight weeks. Exceptions will be made on a case-by-case basis, and will be determined in part by the number of requests received.
• Exhibitors who have not installed their exhibit within five working days of their scheduled opening date must contact the SPH Exhibit Committee or will forfeit their reservation.
• The SPH Exhibit Committee reserves the right to reject any piece not originally presented or approved by the SPH Exhibit Committee.

Exhibition Publicity

Advertising an exhibit before confirmation of a reservation is prohibited.

Information about the exhibit may be added to the Information Kiosk located in the main lobby of the School of Public Health and included on the SPH events and communications pages. Exhibitors will design their own publicity.

Installation

• Exhibitor has the sole responsibility for transporting exhibit to and from the display cases.
• All pieces included in the exhibit must look professional. Although frames are not crucial, works must be finished and well presented. Matte board and foamcore are acceptable. Railroad board and poster board are unacceptable.
• Exhibitors must supply all hardware, mounting, and other supplies.
• Indelible ink, paint, magic marker, chalk, decorative tape, or any other substance may not be used to mark any surface. No adhesives may be used, including tapes, glues, and labels. Scotch Brand Clear Mounting Squares are the only acceptable method of mounting artwork description tags on any surface. No price tags may be displayed on exhibit materials or in display cases.
• Exhibitors are responsible for setting up and dismantling the exhibit in the display cases.
• Exhibits must be installed and removed during regular working hours, after coordinating available times with the SPH Facilities Manager. Installation and removal cannot conflict with other scheduled SPH events. Exceptions must be coordinated with the SPH Facilities Manager.
• All artwork and other display objects must be removed from display cases on the last day of the exhibit. Objects left beyond that day will be turned over to the SPH Facilities Manager.

Security

The SPH display cases are not staffed with on-site security. When signing the application form, the Exhibit gives written agreement that the School of Public Health is not responsible for damage or loss of the displayed works.

The School of Public Health cannot be held liable for security, theft, or damage to exhibits.
